Board Meeting Notes for February 2026

Miata Meeting on 02/16/26

Attendees: Clyde, Brent, Aaron, Renee, Tom, Toby, Brian, and Dick. Absent: Goran 

Meeting notes

1. Aaron shared that Goran has asked to be taken off the meeting invite due to other commitments. He will continue to be a member of the club.

2. Brian who attended the meeting shared that he will continue to participate and help with the club but will be stepping away from attending the monthly meetings.

3. Still looking for a VP for the club for this year. All should send Clyde some suggestions on who to approach. Toby and Johnnie declined the offer.

4. Tom shared the map that Goran created 2 years ago about where the club members live in response to a question from Clyde.

5. Tom Lewis is leading the Marietta Ride again this year and the information for the rally has been posted. He has 7 cars coming from the Cleveland Ohio club and as of now we have 4 cars coming from our club.

6. Miata’s on Main at Big Woods for March and April have been posted.

7. Renee is working on finalizing the date for a return trip/event to her palace this year which will be a pitch-in this year. More to come!

8. Brent will be handling Miata’s on Main in Zionsville in August again this year.

9. Aaron will be handling the Taxman Blues drive again this year and the date will be April 18.

10. Jeff Babb is working on a rally for this year for the south side of Indy. He has the rally information that Goran did and is modifying it to create a new rally.

11. Jeff V. is working on a rally likely for July to go to and have lunch at the Brookville IN reservoir.

12. Richard has committed to hold four brunch outings again this year. First one will be in April.

13. Artomobilia at the Arts and Design District in Carmel is August 29. A club member shared at the Presidents Luncheon that he would provide information for the clubs website. Information has not been received as of this meeting.

14. Another club member expressed an interest in trying to do an event at the Ray Skillman car museum in Greenwood. Information has not been received as of this meeting.

15. Renee and Aaron have paid the insurance statement for the club. Reminder to all that Aaron has access to the PO box for the club located in the Staples store in Avon. 

16. Discussed the questionnaire. Dick to work with Aaron on getting it posted and emailed to club members. Dick to look for the 4 surveys that have been turned in so far.  

17. Clyde to investigate trying to have quarterly events at the various Mazda car dealerships.

18. Clyde to investigate, to learn more about an Autocross event and a teenage driving class that someone at the Presidents Luncheon spoke to him about.

19. Clyde asked about doing a give back to the community event. Dick to review list that was generated a while back which included serving a meal at the Ronald McDonald House.

20. The next meeting will be March 16 @ 8pm on TEAMS. Anyone interested in attending should reach out to Clyde.

Miata Meeting on 12/15/25

Meeting notes

• 1)     Welcomed Clyde Peddycord to the meeting and Toby joined us again as well.
• 2)     Brian nominated Clyde Peddycord to be VP for this year and then president for 2026. This will be reviewed at the Presidents luncheon.
• 3)     Toby discussed the Presidents Luncheon.
• A)    Discussed prizes for the luncheon and Toby will get some gift cards and Aaron has some cars. Brian has a few things as well. I believe will get some cars.
• B)    Brian will come up with some questions that will be used to help give the prizes away.
• C)   Event is scheduled from 2pm until 5pm on January 17, 2026
• D)   Cash bar
• E)    Dick’s Visa card is on their file to secure the venue
• F)     At the conclusion of the event final payment will be required. Only accept cash, or credit card (Visa, MC, Amex and Discover)
• G)   Cash bar
• H)   Additional charges of 9% for Indiana Food & Beverage and gratuity of 20%.
• I)       Need to provide restaurant with a copy of the clubs tax exemption with a copy of the exemption before January 10.
• J)      Menu to be finalized by January 7
• K)    Final head count needs to be finalized by January 7 (10 days before the event)
• L)     Minimum charge is $900 (not incl tax & gratuity)
• M)  Cost for Italian Buffet is $25 per person which includes spaghetti with meatballs, chicken alfredo, tossed salad, and bread sticks. Unlimited tea/lemonade ($55/group). $3/cup of coffee.
• N)   There are round and long tables. Toby to stop by and check out the room and tables.
• Currently have 15 members plus 9 guests signed up. A 2^nd email was pushed out on 12/15 and another is scheduled later this month.
• 4)     Finances were discussed. Renee shared that the club continues earn interest off the money market account. She shared that she would try and apply to get a debit card. She shared that she paid the annual fee for the use of the Wild Apricot software plus the insurance for the club,
• 5)     Aaron shared that he has the annual PO box bill coming due. The club maintains a PO box at Staples in Avon.
• 6)     Aaron will need to be reimbursed for a few prizes for the upcoming luncheon.
• 7)     Aaron provided an update on membership. There is a total of 163 (past due included) showing in the system. He also shared that there several renewal notices recently sent out as these went to the legacy group who have their annual renewal at the start of each year.
• 8)     Dick shared that he would get the questionnaire posted.
• 9)     Shared with Clyde that the club would like to try and do an outreach to the community.
• 10)                        It was shared that Ray Skillman is building a new Mazda dealership in Avon. It was suggested that the club might try and schedule an event there around the opening. Dick to reach out to his contacts at Ray Skillman.
• 11)                        For clarification for all, the secretary and treasure board positions were combined a number of years ago and so there are 3 board members, President, VP, and Secretary/treasure board positions.
• 12)                        Tom updated the Rally Masters Guidebook and all approved the changes. It will be shared with the group.

Miata Meeting on 11/17/25

Attendees: Brent, Aaron, Renee, Toby, Clyde, and Dick. Absent: Goran, Tom, and Brian

Meeting notes

• 1)     Welcomed Clyde Peddycord to the meeting and Toby joined us again as well.
• 2)     Toby discussed the Presidents Luncheon. Discussed prizes for the luncheon and Toby will get some gift cards and Aaron I believe will get some cars. Will likely have Tom donate from the club a few hats and shirts. Will get an update on the configuration of the rental room with the type of tables.
• 3)     Miata’s on Main events were discussed will be:
• a) Big Woods on September 29 – Two complaints were received. Dick asked one of those who complained to come up with an alternative place. More to come in spring.
• b) Arni’s in Fisher on October 27– Thanks to Renee for handling this event. It was shared that the mini cooper club had their board meeting there. This trigger Aaron sharing that the club used to have in person board meetings.
• 4)     Richard held his final brunch #4 on October 16 in Greenwood. He will plan 4 more for next year.
• 5)     24^th Annual Hidden Drives Rally was held. Thanks to Aaron for coordinating again this year.
• 6)     Finances were discussed. Renee shared that the club has earned $60 the last few months.
• 7)     Aaron provided an update on membership. There are 130 active members and 4 just joined. There is a total of 163 (past due included) showing in the system.
• 8)     Dick shared that he would get the questionnaire posted.
• 9)     Shared with Clyde that the club would like to try and do an outreach to the community. Also, that we would like to attract younger members. Finally, it was mentioned about auto crossing.

Next meeting will be another conference call on December 15.

Board Meeting Notes for October

Miata Meeting on 10/20/25

Attendees: Brent, Aaron, Renee, Tom, Toby and Dick. Absent: Goran and Brian

Meeting notes

• 1)     Still looking for a VP for the club for this year and president for next year.

• 2)     Brian issued an email to all club members asking if anyone wanted to step up to be the VP/President. Have not heard from anyone.

• 3)      Final Miata’s on Main event will be:

• Arni’s in Fisher on October 27– Renee is handling this event.

• 5)     Richard held the last of his four brunches on October 16 in Greenwood. Nine drivers and a total of 19 attendees.  THANK YOU Richard! 

• 6)     Rally going to Brown County  was held on September 27. Had 26 cars to start. Lunch plans in Nashville did not work as the town and restaurant were packed at 1:30. It was unfortunate that the place we had been eating at other years had closed. Will work on a better solution for next year. 

• 7)     24^th Annual Hidden Drives Rally will be led by Aaron again and it will be on November 1. Plan is to eat at Squealers in Mooresville at the conclusion of the rally.

• 8)     Finances were discussed and a money market account has been set up by Renee. Aaron’s name was added to the account as well. Annual payment for the software that the club uses will be a direct withdrawal from the banking account

• 9)     Toby will be coordinating the annual Presidents Luncheon for January 2026. She attended the meeting and will set up for final details for the event at the Blind Owl(located down the street from where we have been holding the event the last few years) on January 17, 2026. Cost is $25 per person for an Italian meal plus a fee for tea and lemonade. Will charge members $20. Event will be for ONLY active paid up club members

• 10)                        Failed to discuss the questionnaire, Will discuss next month.

• 1)     Still looking for a VP for the club for this year and president for next year.
• 2)     Brian to post a request for a VP/President.
• 3)     Dick to reach out to a member to see if he would be interested in a role.
• 4)     Miata’s on Main events will be:
• a) Big Woods on September 29 – Dick to coordinate.
• b) Arni’s in Fisher on October 27– Renee is handling this event.
• 5)     Richard will be holding brunch #4 on October 16 in Greenwood. Announcement will be coming out.
• 6)     Rally going to Brown County  is set for September 27. Dick is coordinating. He is looking for someone to lead a group.
• 7)     24^th Annual Hidden Drives Rally will be led by Aaron again and it will be on October 16 or 23^rd.
• 8)     Finances were discussed and a money market account has been set up by Renee. Aaron’s name will be added to the account as well. Brent, Alex, and Renee’s name are on the account.
• 9)     Toby will be coordinating the annual Presidents Luncheon for January 2026.
• 10)                        Tom provided an update on membership. There are a number of members who have not renewed their membership despite numerous emails reminding them to pay their $20 annual fees.  We had a discussion about allowing only members who are in good standing (paid up) to participate in rally’s and the Presidents luncheon. Will have additional discussion on this topic at the next meeting.
• 11)                        Discussion on sending out a questionnaire was discussed. Dick to look for the questionnaire that was sent out a few years ago.

Miata Meeting on 7/21/25

Meeting notes

• 1)     Still looking for a VP for the club for this year.
• 2)     Miata’s on Main events will be:
• a) Renee’s in July – Dick to send out a reminder about bringing your own chairs. Renee will connect with Goran for some tables. Catered is all setup.
• b) Zionsville in August – Brent is handling this event.
• 3)     Goran held a rally this past Saturday and 22 cars showed up. The route had hills, curves and nicely paved roads. Lunch followed for about half the group. Thanks Goran! Tom Lewis made a request for more people to lead rallies. One new member did step up and Dick will work with him.
• 4)     Richard will be holding another brunch in August. Dick will get the information posted and published this week.
• 5)     Rally going to Casey IL is all set for August 9. Thanks to Jeff, Richard and TJ for organizing.
• 6)     Finances were discussed and a decision was made to try and invest some of the club’s money in a CD to try and get some interest on the money. Renee to investigate.
• 7)     Aaron trained those on the call how to archive old non active members information.
• 8)     Aaron showed those on the call to reimburse members who have overpaid or cancelled out on paid events.
• 9)     Club will approach one member to see if they want to take and plan the annual Presidents Luncheon this year.

• 1)     Still looking for a VP for the club for this year.
• 2)     Miata’s on Main events will be:
• a) Greenwood in June
• b) Renee’s in July
• c) Zionsville in August
• 3)     Board approved picking up part of the cost for the luncheon event at Renee’s. Cost will be lowered to $10 per person
• 4)     Richard held the second brunch on June 12 in Plainfield. Good attendance. Richard will hold another event in August.
• 5)     Goran has a rally scheduled for July 19^th. Thanks Goran
• 6)     Tom Lewis led the annual Marietta Rally. Thanks Tom for serving as the rally master for this event.

Miata Meeting on 4/21/25

Meeting notes

• 1)     Still looking for a VP for the club for this year.
• 2)     Still looking for people to lead rallies in June, July, and August.
• 3)     Tax Blues Rally was held on March 12. Twenty-seven cars ran the rally. Thanks Aaron.
• 4)     Miata’s on Main events occurred at Big Woods on March 31. Next one is April 28.
• 5)     Richard held the first brunch on April 10 in Zionsville. Good attendance and Richard provided a questionnaire to the attendees. Results of the questionnaire have already been shared. Thanks Richard.
• 6)     Richard will be holding a golf outing at the Legends in Franklin on May 20.
• 7)     Non IMC event is this Saturday in Carmel. Five cars so far and Dick will be attending. Will be meeting for breakfast at Rosies at 8:15am and then leave by 9:15am to travel to St. V’s hospital.
• 8)     Tom Lewis to lead the annual Marietta Rally. Thanks Tom for serving as the rally master for this event.
• 9)     Tom shared that 5 new members have joined recently.
• 10)                        Business cards are in and some were distributed at the Miata’s on Main. Dick has the balance in his car.
• 11)                        Brent will handle Miata’s on Main in Zionsville in August
• 12)                        Renee will handle Miata’s on Main in Fishers in July
• 13)                         Aaron to reach out to Toby about taking the lead on the annual Presidents Luncheon for 2026.
• 14)                        There are several cars and coffee coming up around the city. Just need members to step up to make arrangements for the club.

INDY MIATA CLUB “Drive to Brunch” Survey Results

The following has been decided based on the survey taken:

“Drive to Brunch” is a good idea and

should be held bi-monthly.

Weekdays are preferred over weekends.

14 restaurants were suggested for future meetings.

That list will be used to decide on future locations

for the brunches.

A special request was made to have a “Ladies table” at

brunch. We will try that at the June brunch to see

how it is received.

The next “Drive to Brunch” will be in June. Details will be

announced via email to club members and posted on the

website.
